How do I use Service Locations on equipment?

Service Locations let you link a piece of equipment to every location it serves, not just the one where it's installed.

A lot of equipment sits in one place but serves many others. A rooftop unit might condition 12 classrooms. A boiler in the mechanical room might heat a whole wing. A pump in the basement might supply every restroom on three floors. Before, equipment could only have one location: where it physically sits. Now you can record both where it lives and what it serves.

Why use Service Locations?

  • Find the right equipment faster. When someone reports "Room 145 is too hot," your team can see which unit serves Room 145, even if that unit is on the roof.
  • Build a more accurate equipment history. Work tied to the rooms a unit serves can be traced back to that unit.
  • Reflect how your buildings really work. Your equipment records can match your mechanical drawings and schedules, where one unit usually serves many rooms.

Location vs. Service Locations

Field What it means Example
Location Where the equipment is physically installed RTU-3 → Roof
Service Locations The locations that equipment serves RTU-3 → Rooms 145–153, Corridor 156

Equipment still has one Location. You can add as many Service Locations as you need.

Note: Service Locations must be in the same account as the equipment.

Add Service Locations to one piece of equipment

  1. Go to Equipment and open the equipment record.
  2. Find the Service Locations field and select every location this equipment serves.
  3. Click Save.

Add Service Locations in bulk

If you're setting up lots of equipment at once, use a bulk action instead of editing each record.

  1. Go to Equipment and check the box next to each piece of equipment you want to update.
  2. Open the Bulk Actions menu and choose Service Locations. 
  3. Select the locations and click Save.

Add Service Locations with the Equipment Importer

You can also set Service Locations when you import new equipment or update existing equipment in a spreadsheet.

  1. Go to Equipment → Import. 
  2. Download the template and fill in the Service Locations column. 
  3. Upload your file, review the preview, and complete the import.

Tip: Your mechanical drawings or equipment schedules often already list which rooms each unit serves (for example, "RTU-1 serves 101–120"). That's a great starting point for your import file.

FAQ

Can equipment serve locations in a different account?
Not right now. Service Locations have to be in the same account as the equipment.

Do I have to use Service Locations?
No. The field is optional. Equipment that only serves the place it's installed doesn't need it.
